1. Log in to HallMaster

Click Here for Hughenden Centre (2025, Weston Ark).

Click Log In and enter your credentials as you normally do.

Once logged in, you should see your name at the top right of the screen.
2. Select the Venue

After logging in, you will be prompted to select the venue.

Make sure you select "Hughenden Centre (2025, Weston Ark)" from the list.
-
This will bring you to the Calendar View for that location.
3. Navigate to the Date and Time

Use the calendar to find the date you want to make the booking for.

Click the green "+" button or New Booking on the appropriate time slot.
4. Fill in the Booking Form
You will be presented with the booking form. Complete the following:

Activity / Title: Give your booking a name (e.g., Team Meeting, Community Lunch).

Date & Time: Choose the start and end times for your event.
-
Venue: Ensure it says Hughenden Centre (2025, Weston Ark).
-
Room / Space: Select the room or space you need from the dropdown list.
-
Price Rate: Ensure it is set to Regular unless otherwise instructed.
5. Add Any Extra Details (Optional)

You can include Notes for the Administrator if there is anything specific they should know (e.g., “Will need projector access”).

If you need equipment or special arrangements, mention it here.
6. Choose Recurring Booking (if needed)

If your booking repeats (e.g., every Sunday), tick the Recurring Booking checkbox.
-
Select the frequency (e.g., Weekly, Monthly) and the days it occurs.
-
Enter the end date for the recurrence.
-
Click Generate Dates or Add Dates.
-
Check the list to make sure all the dates are correct.
7. Check for Clashes

HallMaster will automatically flag any clashes with existing bookings.

If there is a conflict, you can:
-
Change the room or time for your booking.
-
Remove that specific date from the list if it’s not crucial.

8. Review and Submit the Booking

Scroll to the bottom and review all the details.
-
Make sure the venue, price rate, and dates are all correct.

Click Save / Submit to confirm the booking.
-
You should receive a green confirmation banner on the screen and an email acknowledgment.
9. View or Edit Your Booking

Go to the Dashboard → My Bookings.
-
To edit a single date, click the pencil icon.
-
To edit the whole series (if it is recurring), click the chain-link icon.
-
You can adjust times, dates, or even cancel individual occurrences if necessary.
10. Cancelling or Changing a Booking

To cancel a booking, go to My Bookings, find the event, and click Cancel.
-
For date changes, edit the specific entry and save the changes.
